The Challenge With an increasing number of users requesting Snagit and Adobe licenses, we identified an opportunity to optimize our software spend. New license requests could be fulfilled through reallocation, avoiding additional purchases,

The Solution – To address this, we implemented a structured Monthly License Harvesting and Optimization Exercise. 

  • Automated Usage Tracking – leveraging Flexera One and internal tracking reports, we monitored software usage patterns.
  • License Reclamation Process – Any license unused for 90+ days was harvested and reassigned to avoid new purchases.
  • Stakeholder Engagement – Collaborated with IT and procurement teams to align license allocation with actual demand.
  • Rightsizing Subscriptions – Reviewed and downgraded over-provisioned users to lower-cost plans where applicable.,

The Results – Through this initiative, we successfully: Avoided €50,000 in unnecessary software spend by reassigning existing licenses instead of procuring new ones. Reduced inactive license assignments, ensuring all deployed software was actively utilized. Enhanced SAM governance, reinforcing best practices in software procurement and compliance.
